Our Planning Process
What Your Organization Gains Hiring McGargill Meeting & Events
Meetings and events require a significant amount of planning that can catch an unsuspecting business off guard. From beginning to end McGargill Meetings and Events has the experience and knowledge to help you. Our proven planning process can help you maximize the value of the event to your organization.
Here is how we can help:
Goals and Objectives
We work with you to determine what you hope to accomplish by hosting the event. We help you to answer a few key questions: Who do you hope to recognize, and how? What type of message are you hoping to convey? After you answer these basic questions, you will have an idea how to continue.
Once you have the goals and objectives for the event in place, next comes outlining the format, concept and strategy. It is in this stage that the details of the event begin to emerge.
We help you envision every aspect of your event, both big picture, and down to the details. We use inspiration boards to ensure that our vision aligns with your vision of the event.
Once we have a plan and a vision in place, it is time to determine the budget for the event. We can help establish what each aspect of the event will cost.
Once we have a format and budget for the event, it is time to seek the vendors best suited to turn your vision into a reality. MM&E can help you through this process from contract negotiation, through the night of the event. With our established industry connections, we know how to pair your organization with the right vendors for a successful event.
Running an event requires all stakeholders to be on the same page. This may involve various strategies such as a weekly conference call, templates or a task list. We’ll determine the right communications strategy to keep your event planning on track.
On Site Execution
We are there the day of the event, working with our vendors, to ensure that the event goes off smoothly, as planned. This frees your employees to interact with attendees and show appreciation of their relationships.
Post Event Wrap Up
Once the event ends, there are a variety of loose ends to be tied up. MM&E can help with budget and invoice reconciliation, post event surveys and reconciling your organization’s return on investment. We also work to develop a call to action for sales employees to engage with clients.
